We may collect the following personal data:

• Identity data: name, job title, company name
• Contact data: email address, phone number
• Usage data: pages visited, time spent, browser type, IP address
• Communication data: messages sent via our contact form or AI assistant
• Payment data: processed securely by Stripe; we do not store card details

We do not collect special category data (health, biometric, etc.) unless explicitly requested and consented to.

We use personal data for the following purposes:

• To respond to enquiries and fulfil service requests
• To deliver training programmes, consultancy engagements, and bookings
• To send relevant service updates (with consent)
• To improve our website and services via analytics
• To comply with legal obligations

We use trusted third-party services which may process your data:

• Oracle Cloud Infrastructure, website and server hosting
• Web3Forms, delivery of contact, booking and newsletter form submissions to our inbox
• OpenRouter, routing of website AI assistant messages to the AI model provider (we do not keep chat transcripts)
• Stripe, payment processing (PCI-DSS Level 1 compliant)
• OpenRouter and the AI model provider it routes to, AI processing for the Business AI Manager app (see section 12)
• Google Play and Google AdMob, app distribution, subscription billing and in-app advertising for the Business AI Manager app (see section 12)

Each third party has its own privacy policy and data processing agreements.

Some of our third-party providers are based outside the UK/EEA. Where this occurs, we ensure appropriate safeguards are in place (e.g. Standard Contractual Clauses) in accordance with UK GDPR requirements.

We may update this Privacy Policy from time to time. The 'last updated' date above reflects the most recent revision. Continued use of our website constitutes acceptance of any updates.

Our Business AI Manager app for Android (Google Play package com.softwareequality.smeaimanager), Windows and the web is an AI business assistant for small businesses. It collects account details, the business records and files you enter, subscription status, usage counts and, during the free trial only, advertising data used by Google AdMob. Assistant requests are processed through OpenRouter, which routes them to the AI model provider, to generate replies. We never sell your data or use your business data for advertising.
